How to Send Emails Out as a Shared Mailbox Alias

Introduction

The purpose of this guide is to list the necessary steps to sending out emails as a shared mailbox alias. You will need Send As permissions for the specific mailbox to proceed with the steps below.

How to Send Emails as a Shared Mailbox Alias

Note: This method is only possible within Outlook on the Web. As of writing, there is no way to send emails as a shared mailbox alias from the desktop version of Outlook.

  1. Login to Outlook on the Web
  2. In the top right, click on your initials
  3. Select the "Open Mailbox option"
  4. Type in the email address of the shared mailbox you want to send out emails as
  5. Once in the mailbox, click the gear in the top right
  6. Navigate to Mail > Compose and reply > find the Addresses to send from section
  7. Ensure that the alias you want to send from is checked off and click "Save"
    Note: By default the options are turned off and only the primary email address is checked off and greyed out. If you are unsure which alias you want to send out from, please contact us
  8. Open up a new email and the "From" option should appear next to the send button
  9. Click on "From" and switch to the alias you want to send from
  10. Type up your email normally and your email will be received as the alias
    Note: sending the email to yourself may result in it appearing as the regular email address as it is an internal email versus and external one.

Closing Remarks

Please note that any email signatures setup for the shared inbox will not be mirrored from your desktop setup. To setup a signature please set it up in the settings under Account > Signatures.
