How to edit or change your email signature

This document will walk you through the process of setting your email signature.

The first thing we will need to identify is whether you are using Outlook Classic or Outlook New/Outlook on the web.

Hover your mouse over the Outlook icon on the bottom screen:

  • Outlook Classic will have 'Classic' next to it
  • Outlook New will just say 'Outlook'

Outlook Classic

  1. Go to File on the top left
  2. Click Options on the bottom left
  3. Click on Mail on the left side of the options menu
  1. Click on signatures
  2. Click New to create a new signature
  3. Name the new signature and click OK
  4. Create your new signature or highlight the new signature, copy and paste it in the edit signature box
  5. Click save
  6. Set the New Messages and Replies/forwards boxes to the new signature we just created and click save

  1. Compose a new message and check that the email signature is updated to the new one

Outlook New/Outlook for web

  1. Open Outlook New and click the settings gear at the top right
  2. Click Accounts on the left and then click Signatures
  3. Click new signature
  4. Give the new signature a name and create it or copy and paste it into the box
  5. Click save, scroll down and select the new signature for New Messages and Replies/Forwards

Clicking save here will save the changes made to the new signature but will not set it as the default signature. The screenshot and steps below ensure the new signature is set.

  1. Click save again
  2. Compose a new message and make sure your signature is updated to the new one
